PumpkinFest Booth Project Specification

Pumpkinfest Oct. 14 and 15 in 2024.

Get ready to transport back in time and experience a pumpkin-filled Renaissance adventure! The Giant Pumpkin Weigh-Off will be held October 13th from 4:00 – 7:00 p.m. The main 2023 Ukiah Country PumpkinFest event will be held on Saturday, October 14th from 10am to 6pm and on Sunday, October 15th from 10am- 4pm in beautiful downtown Ukiah.  The theme this year is “Pumpkins go to the Renaissance Faire”.

Volunteer Roles:

  • Central Committee interface
  • Booth game developer
  • Booth Structure designer

Expected Result: 3 new IMDC members, 5 new registered voters, $50 doantion

Duration:
The main 2023 Ukiah Country PumpkinFest event will be held on Saturday, October 14th from 10am to 6pm and on Sunday, October 15th from 10am- 4pm in beautiful downtown Ukiah.

Cost:

  • Pre-July Co-ordinate with Sally about getting a booth. The CC should pay for the booth since we want to hand out materials for federal candidates. Even get-out-the-vote is considered federal.
  • Hopefully get the application filled out and mailed in with payment before July 1. (Booth prices increase).

Tasks and schedule

Booth game developer (August)

  • Figure out an activity for kids. Even though it’s an “information” booth, it’s best to have something for kids to do while their parents are talking or registering to vote. Common activities in the past:
    • Toss a sand bag into a board and win a prize if you get it in the opening.
    • Spin a wheel for various prizes
    • Draw a picture relating to the theme. Renaissance fair is this year’s theme.
  • Create the game, whatever it might be.
  • Buy prizes (or get some donated)

Booth Structure designer (September)

  • Line up:
    • Tables
    • Chairs
    • Displays if any
    • Campaign literature to hand out
    • Voter reg forms
    • Canopy
    • Pens

Volunteer Coordinator

  • Line up volunteers for:
    • Transporting items to School Street. Need muscle to move items from storage to location morning of first day.
    • Setting up
    • Working in 2-hour shifts. Having 2 volunteers at a time desirable. (Hours are 10-6 on Sat. and 10-4 on Sunday, so need at least 14 people. It would be good to have alternates)
    • Taking down the booth on Sunday and transporting to storage
  • Train any volunteer who requests it to do voter registration.
  • Call volunteers for Saturday to make sure all are still coming (Oct 13 - Day before The Event)

Setup/take down team (Oct 14 - 8:00 AM First Day of Event)

  • Setup before 9
  • If more items (prizes, collateral) are needed for Sunday, co-ordinate how to get them.
  • At close of event put things away, especially filled-out forms.
  • Call Sunday volunteers to make sure they are still coming

Second Day of Event

  • Continue activities
  • At 4pm, start breakdown of the booth.
  • Make sure all items are taken to storage (or owners if personal items).
  • Deliver contribution money to CC
